Position Details


  • Working Pattern: Hybrid (minimum 2 days office-based, remainder remote)
  • Rate: £18
  • Hours: 35 hours per week

About the Role


We are seeking a detail-oriented Job Description Coordinator to join our Professional Standards team. This role offers an excellent opportunity to work within a respected healthcare professional organisation, supporting critical processes that ensure quality standards across the psychiatric profession.
You will be responsible for administering our comprehensive job description approval process for consultant and non-consultant psychiatric positions, while providing vital support to our regional divisions and networks.


Key Responsibilities


Administrative Excellence


  • Respond to and manage all inquiries related to our job description approval process across multiple channels
  • Maintain comprehensive electronic records and filing systems for psychiatric post assessments across England, Wales and Northern Ireland
  • Allocate draft job descriptions to appropriate regional specialists for assessment
  • Prepare assessments and correspondence for senior advisors
  • Track weekly progress and produce monthly reports for regional leadership

Stakeholder Support


  • Support coordination of regional advisor and representative meetings, with deputising responsibilities
  • Work closely with newly appointed regional advisors and representatives, providing induction support and performance monitoring
  • Collaborate with division managers on strategic appointments and resource allocation
  • Liaise with external stakeholders including healthcare education bodies, government departments, and NHS trusts

Quality Assurance


  • Monitor approved job descriptions and track appointment outcomes
  • Maintain comprehensive archive systems (electronic and manual)
  • Ensure all processes align with organisational standards and regulatory requirements



What We're Looking For


Essential Skills & Experience


  • Strong administrative and coordination experience
  • Excellent written and verbal communication skills
  • Proficiency in electronic record-keeping and database management
  • Ability to work independently and manage multiple priorities
  • Experience supporting meetings and stakeholder engagement
  • Strong attention to detail and accuracy

Desirable


  • Experience within healthcare or professional services environment
  • Understanding of recruitment and selection processes
  • Knowledge of regulatory or approval processes
