Job Details

Senior Facilities Assistant required by a fantastic not for profit organisation based in the City of London. The post holder will manage all aspects of the properties, ensuring offices have high standards of facilities, are properly maintained and comply to legal requirements. The department also manage building or refurbishment projects and constantly review the property portfolio ensuring the best possible working conditions are provided. This post is responsible for the management of the postroom and reception.

This is a full time, permanent role – working Monday to Friday, 35 hours per week, salary circa £29,000 to £32,000 per annum – please note this is a FULLY OFFICE BASED ROLE – offices located in the City (close to Liverpool Street Station / Moorgate Station and Old Street Station). 

Duties:

  • Manage, lead, support and provide appropriate training to a team of Receptionists and Postroom Administrators.
  • Ensure that an excellent customer service experience is provided to all customer enquiries.
  • Ensure an efficient front-line switchboard, reception and postroom service is provided.
  • Manage postroom related contractors ensuring services are delivered on time, to budget and to agreed specifications.
  • Ensure appropriate logistical postal and courier services are provided
  • Ensure appropriate reprographics services (internal and external) are provided.
  • Provide administrative support to key stakeholders.

Key requirements:

  • Leadership abilities and experience in managing, developing and motivating staff.
  • Good customer service skills with experience in managing reception, switchboard, reprographic, postal and courier services.
  • Experience in contract management with experience in purchasing goods and contracted services and the achievement of value for money.
  • Ability to analyse issues and problems, to discuss options and proposals with users and suppliers to improve service and provide best cost solutions.
  • Ability to deal appropriately with sensitive and confidential information.
  • Good working knowledge of Microsoft Office (inc. Word, Excel Outlook, Teams).
