Hourly rate: £20.02 PAYE or £24.84 Umbrella PAYE 
Working hours: 09:00 - 17:15 (60-minute lunch)

Job Purpose:

  1. Offer crucial organizational and administrative assistance to the Lifelong Link Project Lead and Family Group Conference Manager, including coordinating meetings, managing documents, maintaining databases, handling invoicing, and booking venues and interpreters, ensuring smooth operation of the FGC Service and Lifelong Links Project.
  2. Facilitate the organization of FGCs and related meetings by providing administrative support, such as taking minutes, managing documents, booking venues and interpreters, and distributing minutes and reports, ensuring efficient communication and documentation.
  3. Serve as the primary contact for partner agencies, fostering strong communication channels, and oversee the day-to-day administrative functions of the service, ensuring adherence to organizational and policy objectives. Additionally, assist in financial management and maintain service data systems to support the overall effectiveness of the FGC Service and Lifelong Links Project
Responsibilities and Duties:

  1. Serve as the proactive first point of contact for resolving service queries and managing communications with professionals and agencies, including message-taking for project leads and coordinators.
  2. Ensure accurate typing of correspondence and confidential documents using Microsoft Office, with a typing speed of 50wpm, while also maintaining updated and accurate service user records.
  3. Handle finance transactions, such as requisitions, invoices, and purchase orders, including supplier set-up and queries, and support the update of finance models across the department.
  4. Support the maintenance and development of efficient business support systems, assist with quality assurance activities and performance indicator monitoring, coordinate data collection for monitoring and evaluation, and organize training events by safeguarding policies and procedures.
Qualifications, Knowledge, and Experience:

Desirable:
Previous experience in administrative support within a Children’s services setting.
 
Qualifications:
Administrative or secretarial background with proficient use of Microsoft Office suite.
Proficient in recording detailed minutes at complex meetings and collecting statistical data.
Typing accuracy of at least 50 words per minute.

Skills and Abilities:
Comprehensive administrative capabilities, including organizing, minute-taking, and producing accurate records of complex meetings.
Proficiency in creating well-formatted Microsoft Office documents and generating detailed reports with spreadsheets, charts, and tables.
Experienced in using Microsoft Office Suite for data input, retrieval, and mail merge.
Familiarity with administrative tasks like filing, photocopying, and message-taking.
Excellent communication and interpersonal skills for effective collaboration with clients and professionals at all levels.
Strong ability to prioritize tasks and work within tight deadlines.
Demonstrated teamwork and initiative-taking skills.
Understanding of confidentiality principles and ability to maintain confidentiality in multi-disciplinary settings.
Competence in working independently and efficiently with data input systems.
