Events Administrator
Location: London
Hours: Full-time, 35 hours per week
Contract: Temporary to Permanent (initial six-month contract)
Pay: £16.00 per hour
Working Pattern: Hybrid – 3 days in the office, 2 days remote
Interviews: 18 March via Microsoft Teams
We’re looking for a highly organised and proactive Events Administrator to join our Professional Standards Department and support the Events Manager and the wider Events Team.
This is a great opportunity to play a key role in helping our events run smoothly, whether they’re online or in person. You’ll be involved in all stages of event delivery – from planning and preparation to on-the-day coordination – ensuring everything runs without a hitch.
Key Responsibilities
- Provide administrative support to the Events Manager across all areas of event coordination
- Be the first point of contact for event enquiries, responding quickly and professionally
- Manage event communications, including sending speaker invitations, confirmations, and reminders
- Monitor email inboxes, respond to queries, and keep records up to date
- Process delegate and speaker registrations, payments, and refunds using our database
- Prepare and send marketing communications and promotional emails
- Promote events through social media channels
- Prepare event materials such as badges, delegate packs, course materials, and attendance lists
- Attend in-person events to provide on-site support to delegates, speakers, organisers, and committee members
- Compile reports from event data and provide summaries as needed
- Support committees and clinical organisers with administrative tasks related to events
- Create and update event webpages, keeping content clear and current
- Support online events, including managing cameras, microphones, and technical setup
- Run pre-event technical checks with speakers to ensure everything works smoothly
- Provide technical support to attendees to help them access and participate in online events
About You You’ll be confident juggling multiple tasks, with a professional and calm approach. You communicate well with a range of stakeholders, and you pay close attention to detail. We’re looking for someone who has:
- Experience in administration or events coordination
- Strong IT skills, including databases, email marketing, and social media
- A flexible, proactive, and team-focused approach
- Familiarity with virtual platforms like Zoom or Microsoft Teams (desirable)
