Dynamic International Law Firm based in the heart of the City are looking for an Executive Assistant to provide a comprehensive EA support to one of the Senior Partners within the Property Division this is a high-profile role where you will act as a true right hand.

The Role
The Executive Assistant will work with and provide high level support to the Insurance Partner. This role requires someone to manage their day-to-day activities, can anticipate the partner’s need, forward plan for these needs and be stay one step ahead. The role will suit proactive individual, who can use their initiative, correctly judging when to consult with the Partner or other relevant colleagues.  Strong, demonstrable EA experience is Legal /Litigation background perquisite required for this role is this busy and challenging role

Responsibilities:

  • Provide comprehensive administrative/ business support to the Property & Casualty Partner (Insurance)
  • Full support to the Senior Partner including all administration, diary management, meetings, forward planning and day-to-day activities
  • Set up new matters for new clients
  • Prepare retainer letters to go to clients.
  • Request Legal Billing Guides, review Legal Billing Guides: go through the narratives, check disbursements, rates/addresses, finalising the maths, correcting typos and highlighting any obvious tasks that are non-chargeable as per SLA.
  • Complete all the EAC-RAM processes including conflict checks
  • Oversee Work-In-Process Lists
  • Dealing with billing enquiries from experts/chambers re o/s invoices, chasing cashiers, sending acknowledgement email confirming payment, monitoring payment of bills and assisting with credit control and liaising closely with Billings Team
  • Preparing draft covering emails and sending out bills, reviewing the unsent bills list and following up.
  • Logging disbursements
  • Inbox management by monitoring all incoming emails.
  • Reviewing attendance notes when returned from DPD and saving to relevant sub folder.
  • Preparing hard copy bundles, where needed, for document review.
  • Diary management, booking meetings, main point of contact for arranging meetings
  • Arranging QCs and collating the necessary information from Finance in advance and checking the associate has sent their completed QC in advance.
  • Manage and approve holiday requests
  • Assisting with streamlining process to avoid duplication of effort and acting as point of reference for queries from team on expenses, team procedures
  • Onboarding, training new joiners on team processes and procedures.
  • Arranging lunches and booking restaurants
  • Dealing with expenses.

  • Excellent Microsoft Office skills to include formatting documents in Word and Excel (the Document Production Department can assist with document production especially PowerPoint/InDesign)
  • Strong interpersonal skills, ambassador for this client and the Partner and act on the Partners behalf dealing with colleagues, clients, prospective clients, network members and other contacts
