Immediate start Based in Central London 
Salary Band : £35,300 - £39, 500K pro rata

A leading statutory and regulatory body within the medical profession are looking for an experienced EA/ PA.

The Role: 
To ensure and underpin success for the Executive Director, Registration and Corporate Resources by providing the highest level of executive and professional administrative support to oversee a large and diverse range of teams along with supporting the running of the operational hub.  Working closely with the Governance Team to provide consistent and effective executive support, enabling BAU throughout the year and ensuring the one GDC approach across dual locations. Ensure the smooth running of the office and help to improve our procedures and day-to-day operation by planning and coordinating administrative procedures and systems.


Full delegated access to manage complex diary inboxes and telephone of the Executive Director, understanding their needs, their workplan and all external and internal pressures and demands of their time, using experience, knowledge and initiative to effectively prioritise multiple conflicting demands on time and resources.
Acting as a gatekeeper managing the expectations of all external and internal stakeholders, with responsibility for managing key projects, negotiating on deadlines and challenging appropriately where these are not delivered.  
Representing the Executive Director, in his absence.
Assuming the public face of the Executive Director by being the first point of contact for all external communications of all levels.
Developing a full understanding of the cycle of boards and committees, liaison with the Governance Team to further support the Executive Director and the management team workloads, to ensure timely high-quality papers and presentations
Working closely with the Executive Director to map out annual workplans, using knowledge and information available to structure and manage meetings, reports and actions ensuring the success of the Directorate (Executive Director and team)
Working with the Corporate Operations Managers on both sites to ensure high quality, accurate and timely performance reporting.
Directly responsible for ensuring the coordination of all governance reporting
Liaising with landlords and suppliers, with regular communication with third parties and contractors
Providing cover in the absence of the Facilities and workplace Manager.
Drafting responses to communications on behalf of the relevant Executive director  paying close attention to style, tone and stakeholder relationship.
Providing briefings for meetings or communications, undertaking research where necessary
Developing a strong understanding of the work of the organisation and the political environment in which it operates Establishing and developing excellent relationships across the Directorates throughout the organisation and with key external stakeholders.
Providing secretariat services for working groups, meetings and boards
Providing any other administrative support to the Executive Director and their management team including travel and accommodation arrangements, expenses and accounts payable; Supporting with all aspects of the office including suppliers (office services, landlords, catering, event management etc.)
Understanding and applying the principles and practices of data protection and full confidentiality when handling high confidential and sensitive information and communications.
Occasional travel required between London and Birmingham
Occasional outside of normal hours required.
